Privacy Policy

Last updated: October 2026

This policy explains how the 16th North Leeds Scout Group (Alwoodley Scout Group, registered charity 524771) collects and uses personal information through this website, 16thnorthleeds.org.uk. We are the data controller for that information.

If you have any questions about this policy or your data, email us at leaders@16thnorthleeds.org.uk and your message will be passed to our Group Scout Leader.

What we collect

Joining form

Our joining form is hosted by Google Forms. When you register a young person's interest, we collect the young person's name and date of birth, and a parent or carer's name and contact details, including your address. We use this only to manage our waiting list and to contact you about places.

Google stores the form responses on our behalf. Google's own use of data is described in the Google Privacy Policy.

Emails

If you email us, we use your name, email address and anything you include in your message to reply to you.

Plant sale orders

When online ordering for our annual plant sale is open, we use the name, address and contact details you give us to process and deliver your order. Card payments are handled by Stripe; we never see or store your full card details.

Our lawful basis

We process this information because you have asked us to do something (consider a young person for a place, reply to your enquiry or deliver an order), and because it is in our legitimate interests to run the Group. You can withdraw your consent at any time by emailing us.

Who we share it with

We do not sell your information or share it with anyone for marketing. It is seen only by the leaders and volunteers who need it, and by the service providers named above (Google and Stripe) who store or process it on our behalf.

How long we keep it

We keep joining form responses only while a young person is on our waiting list. When they are offered a place, their details are moved to our membership records and deleted from the waiting list straight away. Responses are also deleted if the young person is no longer eligible or you ask us to remove them. We keep emails and plant sale orders only as long as we need them to deal with your enquiry or order, and for any period the law requires for financial records.

Cookies and tracking

This website does not use cookies, analytics or advertising trackers. Our hosting provider may keep standard server logs (such as IP addresses) for a short time to keep the site secure and running. If you open the joining form, Google may set its own cookies on its site.

Your rights

You have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is wrong or out of date;
  • ask us to delete your information;
  • ask us to restrict or stop using your information;
  • complain to the Information Commissioner's Office (ICO).

To use any of these rights, email leaders@16thnorthleeds.org.uk. We will reply within one month.

Complaints

If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You can also complain to the ICO at ico.org.uk/make-a-complaint or by calling 0303 123 1113.

Changes to this policy

We will update this page if the way we use personal information changes. The date at the top shows when it was last updated.
